Your sales, your margins, your bank balances: that is the most sensitive information a business has. We built MyBooks.Africa so that only the people you invite can see it. Not our support team, not our admins, and not anyone who buys data, because we do not sell it.
What our team cannot see
- Your contacts, products and prices
- Your quotes, orders, invoices, bills and expenses
- Your bank, mobile money and cash accounts and their transactions
- Your journal, VAT statements, ledgers and reports
- Your activity log
- The invoices and receipts you upload to your Inbox
- Your financing readiness score, and any lender pack you share: it is encrypted with a key that exists only in the link you send
And we cannot sign in as you. No admin screen opens your books, and our team can never create a sign-in link for your users. When support sends you a new link, it goes to your own email address. If you ask us to add or remove a user, for example because the only owner has left, every owner is emailed straight away with the reason, the person removed is told, and the change appears in your activity log. Our team cannot add its own admin accounts to your company.
What our team can see
- Your company name, country and registration details from your application
- Your subscription status and payments
- The email addresses of your users, so we can send sign-in links
- How many users and documents you have, not what is in them
- The identity and company documents you uploaded, only after an admin unlocks the document vault with the admin passphrase, and every opening is logged
- Whether you switched financing on and, if you share a lender pack with one of our partner lenders, the partner, the date, the amount you asked for and the outcome, so the partner's referral fee can be settled
That is what we need to approve companies, run the subscription and help you when you are locked out. Nothing more.
How we protect your data
Separated by company
Every company's books are walled off. Only users of your company can read or change them.
No passwords to steal
You sign in with one-time links sent to your email. They work once and expire after minutes.
Encrypted connections
Everything between your browser and our server is encrypted (HTTPS). Forms are protected against forgery.
Document vault
ID and incorporation documents are locked with a key that only our admins can unlock with a passphrase that is never stored. Not even someone with access to our servers or backups can open them.
Every change logged
Your activity log shows who changed what and when, including anything our support team did for you. You can download it.
Never sold, never shared
No advertising and no data deals. The subscription is how we earn our money. The only other income is a referral fee a partner lender may pay if you choose to apply for financing through us; your figures go only to the lender you pick.
If you ever lose access
People leave, mailboxes close, phones get stolen. If your company cannot get in any more, ask us to recover access. We restore it only after checking proof of identity and proof that the person may act for the company against what we have on file. The sign-in link goes by email to that person, the other owners of the account are told, and the recovery is written into your activity log with the evidence we checked. Nobody gets into your books quietly.
Your data leaves with you
Sometimes we are not the right fit, and that is fine. Owners download a complete copy of their books at any time under Settings, Your data: a spreadsheet for every area, a complete data file for other systems and a guide to every file. It works even after the subscription has ended. If you leave, ask us to delete everything from the same page.
Honest about the limits
Like every online service, the few people who run our servers can technically reach the database, to keep it running, updated and backed up. They do so only to operate and secure the service, never to read your books, and the identity documents stay locked even for them. We tell you this because security you can trust starts with not overstating it.
